Power BI Templates help the users to export the definition of a report without considering the actual data. Users can easily create a Template using Power BI Desktop, which asks them for parameter values and creates a new Power BI Desktop Report depending upon the elements in the Template file(PBIT file).

While making a Power BI report with the aim of creating a Power BI templates, you need to be alert of the way that you transform your data. Because creating a Power BI templates will basically mean that when you upload a data source, it will be transformed or modified based on the steps you apply to your original report.

When you transform data from your report, you need to perform it in a way that can be reapplied to other data sources as well. But the condition is that the names of the columns of the original data source and new data source must be the same. You cannot apply transformations that may work in one file but not another, like replacing a specific value, unless that value will be found in any file that you may open with the Power BI templates.

You can predict Power BI’s applied steps as a macro for your data; the same steps will be performed in the exact same order, based on transformations you make to each column. If your new data is missing any column, has an additional column, or has a different column than your primary data source, the steps will not work when applied to the new, different data source.

How to build your Power BI Templates

To create Power BI Template; Go To File, Export then Power BI Template. Then rename your template and choose the required location. Now you can import the Power BI Data Model as well as required queries.

After you have built your Power BI report, it’s time to create your Power BI templates Step-by-Step. Follow the below procedure:

Step 1. Create a New Report in Power BI

In order to create a Power BI templates, you should first have a Power BI report. The image below shows the financial report created on the Power BI desktop.

Step 2: Edit Queries in Power BI

Now you have to go to the Power Query Editor to create a new parameter. To open Power Query Editor go to Home tab > Edit Queries tab > Select Edit Queries option as shown in the below image.

Step 3: Create a New Query Parameter

Now it’s the time to create a new parameter in your query editor. As shown in the below image, you can only see the source file i.e. Financials in the Queries pane. When you will add a parameter, it will be displayed below the source file in the Queries pane.
After that you have to create a new parameter by selecting Manage Parameters > New Parameter under the Home tab in the query editor ribbon.

As soon as you click on the new parameter option, the Parameters window will get open. Now you need to create your parameter by giving a Parameter Name in the Name Text box. Then you have to change the Type to “Text,” and add the file path to the current data source. Also, make sure that the Required box is checked. If you select “Required,” that means that your Power BI templates will not open unless a value is entered into the prompt. If the “Required” box is unchecked it can be used for optional files. After clicking on the OK button, you will see the new parameter in the left sidebar of your query editor as shown in the below image.

Step 4: Change Source Settings in Power BI

After creating the new parameter, you need to update the source for your file by clicking on the gear icon to the right of Source under Applied Steps as shown in the image below.
When you click on the gear icon a window will get open as shown below which will allow you to change the source path.

To change the file path, click on the Advanced option first and then click on the dropdown of the file path and choose parameter as shown in the image below.
When you click on OK you will get to see that your path is been replaced by your parameter as shown below.

Step 5: Close and Apply Query Editor

As you’ve created your parameter and updated your data source to that parameter, you can close out of the query editor and apply as shown in the image below.

Step 6: Save Report as a Power BI Templates File

To save your Power BI template, select File > Save As and save it as a .pbit file i.e. Power BI Templates file.

Step 7: Open Power BI Template file with a New Data Source

To test your new template, open the Power BI template file and click OK to export the template as shown in the image below.

After that, you will be prompted to enter the file path for your data source. Enter your data source’s file path as shown below, including the filename and file type.
After clicking on the Load button, your report should load by applying your steps to your new data source.

When data gets loaded completely you will observe that your Power BI templates file includes all the data that you had applied to your report. Below shown is the image of the Power BI templates file.

Before you create a desktop flow, check the list of connectors to see if the application you want to automate already has a connector. If it does, consider creating a cloud flow instead of a desktop flow. You might also build your own connector.

Prerequisites

  • Either a paid or trial license for Power Automate Attended RPA.

  • A work or school account to sign into your Windows device with administrator privileges and Power Automate.

  • A device that runs Windows 10 Pro, Windows 10 Entreprise, Windows Server 2016, or Windows Server 2019.

  • The Microsoft Edge (version 80 or later)or Google Chrome browser.

  • An environment with a Microsoft Dataverse database.

Important

You must have the latest versions of each component to record, test, or run desktop flows.

Install Power Automate Desktop on your device

The installer contains all the components you need to record, edit, and test your automations.

Follow these steps to install the Power Automate Desktop app:

  1. Download the Power Automate Desktop installer.

  2. Open the Setup.Microsoft.PowerAutomateDesktop.exe file.

    This file is likely in your Downloads folder after you downloaded it in the previous step.

  3. Follow the instructions in the Power Automate Desktop setup installer to complete the installation.

  4. Make your selections for each feature for the installation to complete.

Important

The installer installs the Webdriver component. You need it to run desktop flows created with Selenium IDE.It will also installs the Power Automate Desktop app and third-party components.

Set data collection options

During installation, you can change the default settings if you do not want to send usage data to Microsoft. To do so, uncheck Allow Microsoft to collect usage data to improve Power Automate.

Install the Power Automate browser extension

After the installation completes, you will need to install and enable the extension for Power Automate Desktop. This extension will allow you to record and run web actions in your desktop flows.

Select one of the links displayed in the installer. For example, if you want to record your web automations on Microsoft Edge, select the Microsoft Edge link.

The store for your browser opens directly to the public page for the extension.

Important

If you already install the Power Automate extension in the past, you don't need to reinstall it

Microsoft Edge:

  • Install Edge extension: select Get, and then select Add extension when prompted.
  • If you see the message: This extension has been turned off in Microsoft Edge, at the top of the page, select Turn on extension.

Google Chrome:

  • Install Chrome extension: select Add to Chrome, and then select Enable extension when prompted.
  • If you see the message: This item has been disabled in Chrome on top of the page, select Enable this item.

Mozilla Firefox:

  • Install Firefox extension: select Add to Firefox, and then select Add when prompted.

Tip

If you are not able to activate the extension(s) in your browser, you must use Microsoft Edge (version 80 or later) or Google Chrome or Firefox. Other browsers are not suppoted.

Install the on-premises data gateway to run your desktop flows from the cloud

You will need the gateway to trigger your desktop from an event, schedule, or button flow. on a remote device.

Tip

The gateway isn't required if you only want to create, edit, and test your flows on your device.

Install the on-premises data gateway, if you need it.

Important

When you install the gateway, it defaults to the region that Power Automate uses.

Setup desktop flows connections and machine credentials

  1. Sign into Power Automate.

  2. Expand Data on the left side of the screen.

  3. Select Connections.

  4. Select New connection.

  5. Search for Desktop flow, and then select Desktop flows.

  6. Provide the gateway information and device credentials:

    • Domain and Username: Provide your device account. You can use a local account by using the name of the user (for example, “MACHINENAMEUser” or “localUser”), or an Active Directory account such as “DOMAINUser”.

    • Password: Your account’s password.

    • Choose a gateway: Select the gateway you want to use.

  7. Select Create.

Install Power Automate Desktop silently

Follow these steps if you want to silently install Power Automate Desktop.

Note

The same installer is used for manual and silent installation of Power Automate Desktop.

Install Power Automate Desktop using the command line

  1. Download Download Power Automate Desktop.

  2. Open Start.

  3. Search for command prompt, and then run it as the administrator.

  4. Change the directory to downloads (or to the directory into which you downloaded Power Automate Desktop):

    You must provide the -ACCEPTEULA argument to indicate that you accept the terms and conditions for Power Automate Desktop.

Note

All your data and configuration, including telemetry, shortcuts, etc. are retained when you update Power Automate Desktop. If you want to enable parameters previously disabled, you will need to first uninstall Power Automate Desktop, and then reinstall it.

Install the gateway with PowerShell Cmdlets

You will need the on-premises data gateway to trigger your desktop flows from a cloud flow.

You can use PowerShell Cmdlets to install, configure, and manage your gateway.

Important

To use PowerShell cmdlets, you will need to run them from PowerShell 7.0.0 or higher in an elevated session.

Troubleshoot missing gateway

You might not find the gateway in the list while creating the connection for the following reasons:

  • The gateway may be installed in a different region than your Power Automate region. To resolve this issue, uninstall the gateway from the device, and then reinstall it, selecting the correct Power Automate region.
  • The gateway was deleted by its owner.

Install Windows recorder (v1) extension (optional)

The Windows recorder (v1) is another option to record and playback your desktop automations. We recommand you to use Power Automate Desktop since this is the latest RPA solution.

Follow these steps to install Windows recorder (v1) extension:

  1. Install the extension on Micrsodt Edge and/or Google Chroome from the store (Firefox is not supported for Windows recorder (v1))

Microsoft Edge:

  • Install Edge extension: select Get, and then select Add extension when prompted.

Google Chrome:

  • Install Chrome extension: select Add to Chrome, and then select Enable extension when prompted.

Install Selenium IDE to automate Web applications with desktop flows (optional)

The Selenium IDE is an open source tool that lets you record and playback human interactions on Websites.

Follow these steps to install Selenium IDE:

  1. Make sure you already installed and enabled Windows recorder (v1) extension (see previous section)

  2. Download and install the Selenium IDE for Microsoft Edge (version 80 or later) or Google Chrome.

  3. On Microsoft Edge (version 80 or later), select Allow extensions from other stores, and then select Add to Chrome.

Uninstall Power Automate Desktop

  1. Open the start menu > Settings > Apps.
  2. Search for Power Automate Desktop, and then select it.
  3. Select Uninstall.

Limitations

The following are not supported:

  • Windows 10 Home installations are not supported.

  • Windows Recorder v1 desktop flows

    • Multiple monitors.
    • Double click, mouse hover, touch/pen input.
    • Interactions on Windows (File explorer, startup menu, task bar, etc.)
  • Selenium desktop flows

    • Right click.
    • User session information (for example: cookies) will not be reused duringplayback. You will have to edit the script to embed sign in information when required by websites.
